The minutes below from the February 1, 2020 meeting of the Lakeside at Pole Creek Townhomes Owners Association were approved at the Board Meeting held via Zoom on Saturday, June 6, 2020.

Approved Minutes
DATE: February 1, 2020
TIME: 4:00 pm
PLACE: 80 B CR 5223-S, Tabernash, CO (Unit 6B)
Establish a quorum
Joe Gregg, Chuck Nichols, Mary Fairall, Pam Collins, Deb Davis-Merritt
Jerry Nissen in attendance.
Approve 2019 board meeting minutes and clarification on new board membership
Approved and board membership reviewed.
New Website review (Jerry Nissen)
Presentation of new website. Discussion and approval of specific changes to be implemented, especially policy on separating Pole Creek Valley Board information from our board info.
Treasurers Report (Chuck Nichols):
Specific changes to budget proposed, discussed and approved. Final approval when updated budget is next presented to the Board (most likely next meeting).
Vote on budget authorization for 2020 Expenses:
Irrigation maintenance.
Irrigation water.
Noxious weed spraying
Web hosting and HOA administration software
All approved with specific changes to be reflected in updated budget (see above).
Discuss 2020 Staining Requirements and process
Pam agreed to work with Joe on this.
Reserve options / Dues Adjustment and vote for approval
Options presented and approved to be included in updated budget (see above).
HOA Flag Duties
Joe will assume responsibility for the time being.
Covenants: Short-term rentals, parking, and trash
Deb agreed to be point person for development of short-term rental policy. Further discussion required by Board for direction.
BOD meetings plan going forward
Q1/January: approve budget and initiate annual plans/projects
Q2/April: Plan Annual Meeting, ongoing business/projects
Q3/ July: Annual Meeting
Q4/October: Planning and budgeting for next year
Approved.
Any other business that may come before the board.
Other topics introduced or consideration at a future meeting: Concept of ‘Dark Neighborhood’ effort to reduce the amount of lights from units at night.

Documents for the Meeting:
The “master” HOA which includes our townhomes met on Friday, December 6, 2019. This meeting is important to our HOA members as there were proposals that will impact all of us! Our townhomes are included within this larger organization, the Pole Creek Valley Owner’s Association and their rules apply to us as well.
We hope to have a summary of the December 6 meeting available soon.
